Pilot Program TUM Science Manager
TUM is undergoing an important transformation process. The structural transformation to interdisciplinary schools and the digitalization of important core processes are particularly challenging for you as a science manager: You initiate, coordinate and manage change initiatives, implement the new university strategy in the faculties/schools and their chairs, in central institutions or in the administration, and for this you have to mediate between many stakeholders and overcome resistance. The TUM Science Manager pilot program intends to provide you with targeted support in this process!
The pilot program TUM Science Manager aims to further strengthen the skills of experienced science managers that are central to mastering the complex tasks of science management. It is evidence-based and target group-oriented.
The pilot program TUM Science Manager is open to members of the academic mid-level staff (employed on a temporary/unlimited basis in pay group E/A13 or higher) with at least three to five years of professional experience in science management and, generally, with a completed doctorate. The professional experience should have been completed after the doctorate and should include activities in science management or management tasks. If a significant amount of relevant experience has been gained during the doctorate, this can be taken into account
The target audience is primarily persons in staff and interface functions, persons with design, control and management tasks in the faculties/schools and their chairs or in central (scientific) institutions as well as in academically shaped fields of activity in the administration. There is no age limit for application.
Overview of the Pilot Program
The pilot program has a duration of at least 12 months, although the delivery of the content can be extended to a maximum of 24 months. Participation in the courses and workshops as well as the job shadowing will generally take place during working hours; in particular, the accompanying qualification elements such as career coaching and peer mentoring may require your commitment outside of working hours.
In order to expose you to the diverse perspectives of science management, the pilot program will partly take place with the participation of the Max Planck Society.
Structure and Contents of the Pilot Program
In the pilot program, we instruct you in concrete tools and techniques for effective science management and work with you to further develop best practices. Our pilot program addresses the latest research findings while taking into account current trends in science management. In this way, we ensure that our qualification program effectively supports you in mastering your interdisciplinary management tasks.
The pilot program focuses primarily on management competencies that enable effective initiation, implementation and control of change processes, as well as competencies required for a responsible position in the management of academic institutions and units. In this way, we prepare you not only for a job at TUM, but also for a promising continuation of your career, for example, in non-university research institutions, science-promoting institutions of the state and the federal government, as well as in research management in industry. Qualification Elements in the Pilot Program
The following elements are part of the TUM Science Manager qualification program:
The course program provides you with the skills and competencies that are relevant for your work as a science manager. Different formats (workshops, keynote/impulse lectures and exchange forums) are offered. The lecturers are researchers and experienced practitioners. The course program comprises about 10 content modules, each with a duration of approximatelly 8 to 10 hours.
In the self-study element, expertise is deepened, current trends and developments are considered and competencies required for current and future challenges are acquired. For the self-study element, among other things, select materials that meet scientific quality standards are made available in Moodle. On the other hand, we support you in reflecting on your learning behavior and effectively designing/shaping your own learning process during the program.
The job shadowing element enables you to discover new perspectives and areas of work as well as to get to know best practices for your work. You will also gain a better understanding of cross-departmental and cross-divisional processes. A total of ten days of job shadowing is included in the program. A stay of several days in a row or a regular stay on one specific weekday is recommended. The planning of the work shadowing takes place on one's own responsibility. The work shadowing element takes place within the regular working hours.
In the peer mentoring element, you will meet regularly in small groups of 3-4 persons. In your peer groups, you share your experiences, give each other advice and support each other in your personal development. Together, you reflect on your (learning) experiences and challenges in your everyday work. In addition, you will receive valuable impulses from different perspectives in the exchange and discussion with the other participants.
Career coaching with a professional coach supports you in planning your personal and professional development. Together with your coach, you will take stock of your current position, plan further steps in your professional development and develop career perspectives. The program includes up to four free coaching sessions.
In the transfer project, you apply (learning) content to current issues from your everyday work and reflect on the training transfer. Structured guidance and our "project workshop" support you in this process. The transfer project comprises approximately 40 hours and concludes with a report.
Application Prerequisites and Required Application Documents
- Employment at TUM in pay grade E/A13 or higher for the standard duration of the qualification level, usually one additional year from entry into the program
- Diploma, Master's degree or comparable degree
- Generally a completed doctorate degree (without doctorate degree a professional experience of several years in an academic occupation or else own experience in research and teaching is desired)
- Qualified professional experience of at least three to five years (or longer) in an academic environment
- Very good knowledge of German and English, as the program will include German & English language elements
- Prior knowledge and expected competencies:
- Knowledge of the science system and its stakeholders
- Legal basics of science management
- Basics of financial management
- Project management
- Communication and networking skills
- Fully completed and signed application form
- Certificates of all academic degrees
- Curriculum vitae in tabular form, summarizing your academic education and previous work experience
- Letter of motivation (maximum 2 A4 pages) in which you explain your motivation, interests and previous experience and convincingly elaborate why you have chosen the TUM Science Manager track
- Letter of recommendation from your direct supervisor & a letter of recommendation from another TUM supervisor; please have the supervisors sent these directly to careerdesign(at)lll.tum.de
- Evidence of the required competencies; in addition, a written presentation of a maximum of 1 DIN-A4 page can be enclosed, which demonstrates the acquisition of competencies through practical activity
- Evidence of previous qualification measures in line with the contents of the desired track
Undertaking a self-assessment is a mandatory part of the application process. The self-assessment guide supports you in making a systematic assessment of your interests and skills in order to identify your talents and strengths as well as areas for development. At the same time, it helps you to work out your motivation for applying for the TUM Science Manager pilot program. The contents of the self-assessment remain confidential, of course, and are only accessible to you.

Please note: At present, we have to assume that third-party funding is a possible hurdle for participation, especially if a participant is fully financed by third-party funds. A further education to this extent is probably not compatible with the purpose of the funding commitment for many third-party funders.

Selection Process and Criteria
The selection process is intended to ensure, that the qualification program fits to you. For the pilot program, we will admit 12 to 15 TUM employees.
In the first step, we check the completeness of your documents and, if necessary, ask you to submit any required documents. This is followed by a review and evaluation of your application documents by the CareerDesign@TUM team. If you achieve at least 20 points in this step, we look forward to a personal interview with you, in which we would like to better understand your motivation for participation, your commitment as well as your professional experience. We are also happy to discuss mutual expectations for participation during this interview.
Based on the review process, we create a ranking list and recommend participation (or rejection). The CareerDesign@TUM Board decides on the ranking list and admission to the program. Of course, upon request, we will be happy to take the time to explain the reasons for a possible rejection and suggest alternatives to participation in the pilot program, e.g. our open course program Effective Science Management.
